What drives the cost of an organisational AI agent
Not a price list - a map of what moves the price, so you know what you are comparing when two very different quotes arrive.
Why there is no price list here
Two quotes for the same "chatbot" can differ several times over, and rarely because of margin - usually because they describe two different things. A map of the drivers is worth more than a number, because it lets you compare like with like.
What actually moves the price
| Driver | Why it matters |
|---|---|
| Content volume | How many documents and pages must be processed and kept current |
| Scanned documents | Scanned text needs additional processing |
| Number of languages | Approved content per language costs more than machine translation - and produces a different result |
| Channels | Website only versus website plus WhatsApp and Telegram |
| Conversation volume | More enquiries means more processing |
| Availability and support level | A commercial decision. Every level is possible and each is priced differently |
| Integration with internal systems | Turns a short deployment into a project with scoping and testing |
The costs that never appear in the quote
These land on you rather than the vendor, which is why they are missing from most comparisons. They are worth estimating before signing.
- Internal team time: gathering content, approving wording, deciding on sensitive topics.
- Ongoing content maintenance - who updates it when a procedure changes, and how often.
- Going through the vendor for every change, if the system does not let you make changes yourself. This is the largest hidden cost over time.
- The implementation period itself - a project of months is a cost, even when it is not a line in the quote.
One question that reveals the cost structure
Ask every vendor: "If we want to change the wording of one answer, who does it, how long does it take, and what does it cost?" The answer tells you more about three-year cost than the first-year price does.
